Admin Assistant at Woodchester Mansion

Woodchester Mansion Trust is seeking to appoint an Administrative Assistant to work part time in the Trust’s office at Woodchester Mansion. The person appointed will be required to perform office duties which are associated with a small charity which offers visitor access to the Mansion on public open days and through visits from private parties.

The work will involve general office tasks such as editing and printing notices and tickets in support of public open days, and taking bookings and record-keeping in support of other events taking place at the Mansion.

IT skills are essential. The person appointed should have a good knowledge of Microsoft Word, Excel and Outlook. The ability to work independently is essential, as are good communication skills, and a willingness to engage with the activities of the Trust.

The post is for 18 hours a week, to be worked on Monday to Thursday during the hours that the office is open. (8.30am to 4.30pm) Flexible working is available subject to agreement, but attendance will be required for part of each of the four days Monday to Thursday. The post will be paid at up to £12 per hour, depending on experience.

This is a fixed short-term appointment which will run from early in April until the end of October 2018.

Woodchester Mansion Trust is seeking a part-time Office Assistant to work at Woodchester Mansion during the summer season April – October 2018. This is a fixed short term appointment.

Responsibility: To provide support to Trustees, Staff and Volunteers in the activities of the Trust.

Role: The successful candidate will be required to perform general office duties which are associated with a small charity which provides visitor access to the Mansion on public open days and which, in addition, receives visits from private parties.

Duties: Duties will include dealing with queries received both by telephone and e-mail, receiving and distributing post to relevant recipients, assisting Staff, Volunteers and Trustees as required in support of office activities, open days and other events taking place at the Mansion. This work will involve general office tasks such as editing and printing notices, leaflets and tickets, taking bookings and record keeping. The appointee will be responsible to the Trustees in the direction of their work.

Skills: IT skills are essential. A good knowledge of Microsoft Word, Excel and Outlook is required and familiarity with PowerPoint is desirable but not essential. In addition, we use an online calendar to manage events and to communicate activities. The ability to work independently is essential, as are good communication skills, and a willingness to engage with the activities of the Trust.

Working arrangements: The post is for 18 hours per week, which may, by arrangement, be worked flexibly during the hours that the office is open (8.30am and 5.00pm) on Monday to Thursday inclusive. Attendance for part of each day is required

Salary: £12 per hour.

Starting date: The Trust would like to appoint someone to fill this post from early in April.

Woodchester Mansion Trust Ltd is a registered charity which is responsible for the management of Woodchester Mansion – an incomplete Victorian Gothic Revival house on which work stopped in the 1860s. The role of the Trust is to restore the building to the state in which work stopped, but never to complete the building.

Other information: The Trust provides access to members of the public on open days (Friday, Saturday and Sunday and Bank Holiday Mondays in 2018) from April to October and received around 5000 visitors on open days in 2017, along with about 2000 visitors attending booked private events. Currently, the Trust employs a Site Services Manager, and it is seeking to appoint someone to assist in the office during the open season, until the end of October 2018.
